Use this interactive worksheet to describe the objects needed during a meeting. Begin with an ordinary agenda

Choose a representative meeting rather than the busiest situation you can imagine. Enter the number of people who need the same personal workspace and the dimensions of one rectangular workspace. Use measurements from the actual objects. For example, an open laptop and notebook may occupy a different area from a closed laptop alone.

If participants have different equipment, make separate notes for the variations. The planner uses one repeated personal footprint to keep the arithmetic clear. It does not account for those variations automatically, so bring the equipment list into the conversation with the table seller.

Add the shared area

Enter the dimensions of the shared rectangular area you want to reserve. This might represent printed material or a presentation prop. It is a chosen planning input, not a recommended minimum. Leave this area at zero if you do not intend to reserve one.

The calculated sum is useful for comparing your own scenarios. It does not include people, chairs, the base, cable connections, movement, or unused gaps between objects. Do not treat the resulting percentage as a suitability score. Larger numbers mean more of the hypothetical top area has been assigned to the entered rectangles, and nothing more.

Compare and document
